The power of responding quickly to potential clients

Someone finds your website, reads your services page and fills out your contact form or sends an email. Then they wait.

After two hours, the odds drop significantly. After 24 hours, most people have moved on.

The shocking statistic is that, according to a Harvard Business Review study, the average business response time is 42 hours.

This is commonly referred to as ‘speed to lead’. It is the time between someone raising their hand and you getting back to them and is one of the highest-leverage numbers in your business.

Most local business owners have no idea what theirs is.

Where do your leads go?

Before you can improve that number, you need to understand your current setup.

When someone contacts you through your website, your GBP, or your social profiles, where does that lead actually go? Does it arrive in your inbox? A shared inbox? A text message? A CRM that someone checks occasionally?

Many business owners cannot answer that question in full. Leads come in through different channels and land in different places. Some get seen immediately. Some sit unread for hours. A few disappear entirely.

No process means no consistency. And no consistency means you are winning some of these opportunities by accident, and losing others the same way.

What lead capture actually means

Lead capture is not just having a contact form on your website. It is the full process: how a visitor becomes a known contact, where that contact information goes, and what happens next.

A contact form with no follow-up process is a waiting room with no receptionist. People arrive, fill something in, and then wonder if anyone is home.

An effective lead capture system has three parts.

FIRST, something worth exchanging contact information for. A clear reason to get in touch or sign up. Not just a generic “Contact us” button. A specific offer, a free assessment, a useful guide, a booking link. Something that makes the next step feel worth taking.

SECOND, one place where all leads land. Not three inboxes and a text thread. One place, checked consistently, by someone with the authority to respond.

THIRD, a defined response process. Who responds, how quickly, and what they say. Even a simple template and a target response time change everything. It turns a habit into a system.

Your GBP, your website, your directories, your backlinks: all of that work is designed to get the right people to raise their hand. If your lead capture system is inconsistent, you are sending a strong signal into the world and then going into hiding the moment people start coming to look for you.

One Practical Move

Map your current lead flow.

Start with this question: Where do your leads end up right now? An inbox, a text, a CRM, a missed call log? Write it down.

Then ask: What is the process for responding? Who responds? How quickly? Is there a template, or does each response start from scratch?

Next question: How would you know if a lead came in and nobody responded? Is there any way to check?

Write the answers down as they are, not as you would like them to be. That map tells you exactly where the gap is.
